Deliverables and Accountabilities The Office Assistant is key to fulfilling the promises we make to our customers.
The company's brand and financial performance relies on the proper execution of the responsibilities of this role.
The areas of accountability are as follows:

Team Support Accountabilities Deliverable 1 - Customer Service 1.
Answers all incoming phone calls and redirect to appropriate person or take and deliver accurate messages.

Address any complaints in a professional manner and direct to the appropriate source for a resolution.
3.
Keep desk organized and stocked with appropriate materials required to accomplish tasks.
4.
Assist to keep lead slippage to a minimum by keeping customers satisfied and quickly directing to salesmen or another associate.
Deliverable 2 - Clerical duties 1.
Receive and distribute incoming mail 2.
Gather and deliver outgoing mail and packages.
3.
Order supplies as directed by Office Manager 4.
Assist in creating and updating schedules 5.
Assist with photocopies if needed 6.
Maintain office equipment and report any malfunctions or needed supplies Deliverable 3 - Team support 1.
Prepare meeting rooms by making sure they are clean and stocked with necessary equipment or supplies.

Send notices to team members about meetings.
3.
Organize refreshments for meetings 4.
Assist with in house meals or marketing events 5.
Arrive 5- 10 minutes prior to opening to turn on lights, check thermostat and periodically check the cleanliness of restrooms and report any needs 6.
Commit to 40 hours a week 7.
Come to all meetings prepared and engaged to discuss and set weekly goals Reporting 1.
Report directly to the Office Manager.

Attend all meetings on time with prep completed.
3.
Maintain and update accurate records for all administrative responsibilities 4.
The following will require sign off and/or notification of the Operations Manager:
Any serious injury or accident occurring at Distinctive Roofing Systems, LLC's shop facilities.
Any liability, warranty, or damage issue.
Any incidence of fraud or theft within the company.
All purchasing of new tools.
Any incident involving damage to Distinctive Roofing Systems, LLC's or customer's assets.
A serious breach by an employee or stakeholder of our corporate values.
Major strategic, cash, people, or brand initiatives.
Compensation Structure All Office Assistants are paid weekly.
The pay period encompasses the Friday from the previous week up to and including Thursday of the current week.
Paychecks are issued on every Friday and a pay stub is attached.
Shop Hours are Monday to Friday, 7:
am to 3:
30pm.
Office Hours are 7:
00 am to 4:
00pm.
As an Office Assistant, you will be expected to work approximately 40 hours a week and arrive 5-10 minutes prior to opening.
Overtime will be paid at time and a half If the following holidays fall on a weekday, Distinctive Roofing Systems, LLC will close on those days as well:
New Year's Day January 1 Memorial Day Last Monday in May Independence Day July 4 Labor Day First Monday in September Thanksgiving Fourth Thursday in November Christmas December 25 Employee health benefits are not covered by Three Diamond Fab, LLC.
Three Diamond Fab, LLC currently pays all full-time employees not on probation a $300/month bonus, payable on the first Friday of each month, in lieu of health benefits, that can be used to help defray the cost of an individual health insurance policy if they wish to purchase one, or however the employee chooses.
Performance reviews will take place on a quarterly basis.
Raises are performance and experience based and are not guaranteed.
A 3-month probationary period will be in effect from the start of employment.
General Expectations Appropriate technology will be provided by Distinctive Roofing Systems, LLC's for use by the Office Assistant only.
Any damages to Distinctive Roofing Systems, LLC's assets due to the negligence or misuse by the Office Assistant are the responsibility of the Office Assistant.
Office Assistants will be expected to have their own transportation to and from work.
If travel is ever required, they will be reimbursed by Distinctive Roofing Systems L.

C Receipts that you are requesting reimbursement for must be submitted to the Financial Controller daily.
All travel allowance expenses not submitted by the end of the month will not be paid and cannot be banked for future payment.
Personal Presentation Office Assistants are typically the first contact with customers and need to represent our company is a satisfactory manner.
This can be accomplished by maintaining a neat and well-groomed appearance, maintaining an attentive posture, and responding professionally and cheerfully to visitors and callers.
They are expected to wear business casual attire appropriate for their job.
Clothes should be clean and free of tears.
Office Assistants must always adhere to all OSHA safety practices and ensure that other team members are doing the same.
All employees must refrain from the use of inappropriate language on and around Distinctive Roofing Systems LLC facilities and while wearing Distinctive Roofing Systems, LLC attire in the community.
Any music played at desk must contain appropriate language and maintained at a reasonable level.
Absenteeism Office Assistants must notify the Office Manager by 6:
30am if they are sick and require a day off.
A doctor's note will be required for illnesses requiring more than 3 consecutive days off.
Office Assistants are expected to be in the office by no later than 6:
55 each workday.
Office Assistant must notify the Sales Manager by 6:
30am if they are going to be late.
Work will commence as scheduled regardless of the weather unless otherwise stated by the Operations Manager.
Attendance to all staff meetings and training sessions is mandatory.
Resignation, Employee Enforcement & Termination Office Assistant agrees to give a full 2 weeks' notice to Pam Pinkerton, the managing partner, prior to resignation.
Certain circumstances may lead to reprimanding prior to termination by way of a 3 strikes you're out policy.
Such actions may include but are not limited to:
- unsatisfactory completion of work or fulfillment of your position - not showing up to work or not showing up to work without proper notice given - general disinterest towards the job which brings down the morale of other crew members - overall bad attitude At the first incident an official verbal warning will be given.
Upon a second incident, an official written warning will be issued outlining the parameters of the warning.
If management has reason to issue a third notice, termination of the employment agreement may be considered.
Certain circumstances may lead to immediate termination.
Such actions may include but are not limited to:
- fighting (with other employees, subcontractors, customers, or suppliers) - discussing pay with other employees.
- being intoxicated - stealing from the company, its employees, subcontractors, customers, or suppliers - revocation of a driver's license which prevents you from being able to fulfill your duties and obligations - reckless use of employee equipment - endangering yourself or others by way of un-safely going about completing tasks All terms of this Employment Agreement are subject to change.
No terms of this agreement should be considered prescient setting for upcoming employment contracts.
In accepting our offer of employment, you certify your understanding that your employment will be on an at-will basis, and that neither you nor any Company representative have entered into a contract regarding the terms or the duration of your employment.
As an at-will employee, you will be free to terminate your employment with the Company at any time, with or without cause or advance notice.
Likewise, the Company will have the right to reassign you, to change your compensation, or to terminate your employment at any time, with or without cause or advance notice.
